Art Exhibit Policy

EXHIBITING AT THE CASE MEMORIAL LIBRARY
The Case Memorial Library welcomes the opportunity to display works of art from Orange as well as statewide residents. The Art in the Library Committee of the Case Memorial Library sponsors and makes these art exhibits possible as a service to both the artists and the general public. The Art in the Library Committee has a jurying process whereby the artist will submit three samples of their work in the first Thursday in June. Fee for applying is $10.00. Please bring your work between the hours of 4 and 7 PM to the second floor conference room. The jurying process is held on the next day and pickup will be on Saturday morning, 10-12 AM.

PHYSICAL LIMITS
Once an artist has been approved, the Art in the Library Committee will schedule both "hanging and taking down" dates with the artist prior to the exhibition. An exhibit is on display for one month. The area available for art exhibitions is currently limited to the walls of the Meeting Room on the 2nd floor of the library. The glass case in the entry (to draw further attention to the exhibit) may be available by prior arrangement. Our exhibition space is a multipurpose room. It is community space for functions from preschooler workshops to large public hearings. Safety is therefore an important consideration! Heavy, freestanding work must be securely based. It is advised that floor space be kept mostly clear.

HANGING
Hanging and dismantling of the exhibit is the responsibility of the artist. Library staff is not available to help with this process. An Art in the Library committee member will be present to offer guidance during the hanging process as well as approving the appropriateness of the artwork. It is the responsibility of the artist to label his or her own artwork. All materials for hanging (nails, hammer, measuring tape, etc.) are to be supplied by the artist. Pictures are to be wired and framed for hanging (saw tooth hooks should not be used). Numbers for each piece of artwork will be provided. Stands are available for sculpture and ceramic art.


ARTIST PROFILE /PRICE LIST

A profile of the artist's history should be inserted into a plastic sleeve and posted on the Meeting Room wall for visitors to read.

In addition, a price list, including the number, name of each individual item and price, is to be posted on the meeting room wall in the same manner or provided in a brochure. The price list must contain the name, address, phone number of the artist. The library will not be involved with sales transactions, however, a copy of the price list should be left at the Circulation Desk for librarians to use for reference as needed.

Do not post prices on the works themselves or on the adjacent wall space. Your work will be numbered. We suggest that you provide approximately 100 price lists to be left in the gallery to be available for show visitors. People who are interested in your work can contact you directly. The library expects a commission of 10% of sales.

PUBLICITY
You will be assigned an Art Committee liaison with which you should coordinate your show. Please notify your liaison six weeks prior to your show with information about your opening.

The exhibitor will be responsible for publicity of his or her exhibit. This includes press releases for newspapers, art magazines (Arts Council of Greater New Haven), radio stations and other media jointly agreed upon. Press releases should contain the artist's profile and include the following:
  • art related degrees
  • background or experience
  • glossy photo for press releases
  • postcards (if desired)
  • brief statement about medium
  • prior exhibits
We strongly recommend that you adhere to the promotional recommendations provided in the sample press kit to ensure the best attendance to your show as possible.

OPENING RECEPTION

The artist may plan a formal opening or reception during regular library hours after ascertaining that the Meeting Room is available. Openings are generally held on the 1st or 2nd Thursday afternoon from 5:00 PM - 7:00 PM and are the artist's responsibility. Once you have received confirmation that the date and time has been approved, your liaison will provide you with the specified room arrangement and offer suggestions to guide you on your reception.

Invitations for the opening reception event are the responsibility of exhibitor. It is suggested that approximately 100 post cards** announcing the event are mailed to friends, family members, and civic groups or organizations to which you belong at least 2-3 weeks before the opening reception.
**If a picture of the artist's artwork is used on the front of the post card it
should be of one that will be included in the exhibit. Please take note of the
copy positioning for your postcard as noted in the press kit when designing your post card.

Library hours should be included on the post card.
Summer hours (from June through August)

Winter Hours (from September through May)
Mon. - Thurs. 10-8
Fri. 10-5
Sat. 10-4

In addition, you may create flyers (see press kit) promoting your opening
reception and exhibit to give out to local businesses/organizations or to post on local bulletin boards.

Two easels are available through the library and should be positioned in the main lobby and entrance to the Meeting Room of the library. A sample of your artwork and opening reception information should be posted on the easels. Food and only nonalcoholic beverages may be served during the reception, and are the responsibility of the exhibitor. (Tomato-based sauces or dark-colored drinks should be avoided since the room of the reception is carpeted). There is a large outdoor sign that will be displayed on the day of the reception. It is the artist's responsibility to bring in the sign before the library closes and put it in the proper storage space.

Tables will be provided by the library, however, the exhibitor is responsible for bringing tablecloths, plastic cups, paper towels, napkins, and garbage bags. If desired, floral arrangements and a CD/tape player for soft background music can also be included to create a warm atmosphere during the reception.

The kitchen facilities, including the refrigerator and sink but not the microwave, are available for your use, however, the Staff Room is not to be used. We ask that exhibitors are respectful of Library property and return the Meeting Room and Kitchen facility to a clean condition. Do not leave leftover food in the refrigerator. Please be sure the kitchen is clean at the end of the Thursday opening reception.
Before you leave the exhibition room please be sure to:
1. Clean the kitchen
2. Put away any furniture you may have moved
3. Turn off lights
4. Recyclable and large items should be removed
5. Close all doors and exit according to the directions provided to you

INSURANCE

The Meeting Room is kept open at all times of the regularly scheduled open
hours of the library. The Library's insurance policy does not include works on exhibition and is not responsible for artworks, therefore, exhibitors must sign an Exhibit Registration and Release form. These must be completed prior to the displaying of the artwork. If you want insurance coverage, you must provide your own.

We ask that a nominal gift of $25.00 is made to the Library. This will enable the continuation of the Art In The Library Program. Checks are to be made payable to "Case Memorial Library" and "Art In The Library Program" should be written on the memo line of your check.

TAKING DOWN YOUR EXHIBIT

You must take down your exhibit by the close of the first day after the end of your exhibit period. The librarians are always helpful, but they have no
connection with the Art in the Library Committee, and it is not their job to handle the art shows. Please call your liaison with any questions before you ask the librarian for help.
